Conference management from Qumak
TechnologyThe system, which employs building automation and facility management systems, has already been introduced for one Warsaw communication agency (which wishes to remain anonymous). According to Qumak, one of the most significant challenges in the implementation of the project was developing the guest service software integrating some of its most crucial functions. The system developed by Qumak combines the functions of a parking system, conference hall management, digital signage and information exchange via Microsoft Exchange with the guest service system. The aim of the project was improving the quality of guest service in the facility and streamlining conference room management in the course of work. An important issue in the project was the level of difficulty of the service related to check-in. Integration of a few complex systems is meant to streamline building management itself. The system can guide visitors from the entrance, throughout the facility and back to the exit after a meeting has been concluded. Its automated guest identification system is also one of its advantages. This creates an automatic form for each person who confirms their presence in the client’s office and contains basic data such as their names and their cars’ licence plate numbers. Each guest obtains a special PIN number which acts an alternative access key to the car park. The completed and verified form is transferred to subsequent subsystems, such as for reserving a parking space or a place in a conference room. Upon entering the car park an invited guest is welcomed by personalised multimedia information on LED monitors located above the entrance. Then they are led to their parking space with the aid of films and presentations on a 50m LED screen installed along the entire length of the car park. They are then guided to the reception accompanied by multimedia content displayed on small LED monitors. Qumak’s system is also integrated with cameras and automatic licence plate recognition systems. This allows someone arriving for a meeting to be automatically identified and permitted to enter the facility. After leaving their car the guest is instructed how to find the lifts with the aid of screens placed in the car park. An important aspect of the system is its security and that it can prevent undesired persons from entering the building. For this purpose, upon entering the reception or the car park each person receives an id card including a beacon upon arrival. This makes it possible to identify them automatically. Digital signage monitors are installed in the lift foyers, corridors and workspace and display the information required to make it easier to move around the building. Personalised multimedia contents are automatically displayed for each invited guest within the monitor’s reach, in any form previously established by the user. The process is possible due to the use of beacon technology based on Bluetooth 4.0.
